Terms and Conditions – Here For The Drama Academy

By enrolling your child with Here For The Drama Academy (HFTD), you agree to the following Terms and Conditions.

1. Enrolment and Participation

a. Parents/legal guardians are responsible for providing accurate and up-to-date information during enrolment, including relevant medical, allergy, additional needs and emergency contact information.

b. Participants are expected to follow HFTD's rules, policies and reasonable instructions during sessions.

2. Fees and Payments

a. HFTD membership includes 36 scheduled teaching sessions across the academic year. The annual cost of membership is divided into 12 equal monthly instalments to provide families with consistent payments throughout the year.

b. Monthly instalments do not correspond to the number of classes taking place within a particular calendar month. Payments therefore remain payable during school holiday and non-teaching periods as part of the 12-month payment plan.

c. Where a participant joins part-way through a month, an initial pro-rata payment may be charged based on the remaining membership period before their regular monthly instalments begin.

d. Fees are non-refundable except where expressly stated within these Terms and Conditions or where required by law.

e. Fees will not be refunded or transferred for sessions missed due to participant absence, including illness, holidays, school commitments or other personal circumstances.

f. Any outstanding or failed payments remain payable. Withdrawing a participant does not remove responsibility for fees already due.

3. Cancellations

a. A minimum of 30 days' written notice is required to cancel membership.

b. Any monthly instalment falling within the 30-day notice period will remain payable. Participants may continue attending all scheduled sessions during their notice period.

c. As annual fees are divided into 12 monthly instalments, a payment may fall during a school holiday or non-teaching month and will remain payable where it falls within the participant's notice period.

d. Memberships cannot be paused or frozen. Participants wishing to stop attending must cancel their membership in accordance with the 30-day notice policy.

4. HFTD Class Cancellations and Changes

a. If HFTD is required to cancel a scheduled session, we will make reasonable efforts to provide an alternative session or, where appropriate, a credit or refund.

b. HFTD reserves the right to make reasonable changes to teachers, venues, timetables or session arrangements where necessary.

c. Parents will be informed of significant changes as soon as reasonably possible.

5. Code of Conduct

a. Participants are expected to behave respectfully towards teachers, staff, other participants and venue staff.

b. Behaviour that places the participant or others at risk, significantly disrupts sessions, or repeatedly breaches Academy rules may result in disciplinary action.

c. HFTD reserves the right to terminate a participant's membership in cases of serious or repeated inappropriate behaviour. Where appropriate, parents will be contacted and reasonable steps will be taken to address concerns before termination.

6. Safeguarding

a. HFTD is committed to providing a safe and inclusive environment for children and young people and operates in accordance with its safeguarding policies and procedures.

b. Safeguarding concerns should be reported to HFTD's Designated Safeguarding Lead (DSL) or Deputy DSL.

c. HFTD reserves the right to share information with relevant safeguarding authorities or external agencies where necessary to protect a child or young person or where required by law.

7. Medical Information and Emergencies

a. Parents/legal guardians must inform HFTD of any medical conditions, allergies, injuries, additional needs or other information that may affect a participant's safety or participation.

b. Parents are responsible for keeping this information up to date.

c. In an emergency, HFTD staff will take reasonable steps to contact the participant's parent/legal guardian and may contact the emergency services where necessary.

8. Photography, Video and Media

a. Photography and video may take place during HFTD activities for purposes including Academy promotion, social media and marketing.

b. HFTD will use photographs and video in accordance with the photography/media consent provided by the participant's parent or legal guardian.

c. Parents may contact HFTD if they wish to update or withdraw their photography/media consent for future use.

9. Liability and Personal Property

a. HFTD will take reasonable steps to provide a safe environment for participants. Nothing within these Terms and Conditions excludes or limits HFTD's liability where it would be unlawful to do so.

b. HFTD cannot accept responsibility for loss of or damage to personal belongings unless caused by HFTD's negligence.

c. Parents are encouraged to clearly label belongings brought to sessions.

10. Communication

a. Important information and Academy updates will be sent using the contact information provided during enrolment.

b. Parents/legal guardians are responsible for ensuring their contact details remain accurate and up to date.

c. Parents are responsible for checking communications relating to timetable changes, cancellations and other important Academy information.

11. Data Protection and Privacy

a. Personal information will be handled in accordance with applicable UK data protection legislation and HFTD's Privacy Policy.

b. Information may be shared with relevant third parties where necessary for the safe and effective delivery of our services or where required by law.

12. Changes to These Terms

HFTD may update these Terms and Conditions from time to time. Where changes materially affect existing memberships, parents/legal guardians will be given reasonable notice.
